1.2. The hall makes an ideal venue for children’s parties, seminars, exhibitions and other events by negotiation.
1.3. Any booking made will be provisional until an application form is completed, signed and a deposit (£70 for individual bookings or £200 for regular bookings) is received to secure the booking.
1.4. No bookings will be taken for Sundays, the month of December, during Easter (Holy Week) or for New Year’s Eve.
1.5. We DO NOT hire out the hall for wedding or engagement parties, where excessive alcohol may be consumed, or dance classes for adults. We DO NOT allow bookings that are incompatible with our Christian beliefs, such as yoga (spiritual or non-spiritual), or other faith group meetings.
2.1. The person signing the application form shall be known as “the Hirer” and shall accept full responsibility for the due observance in all respects of the Terms and Conditions, and for the prompt payment of all sums set out due to the PCC.
2.2. In signing the Application Form, the Hirer agrees not to use the premises or any part thereof for illegal purposes or for any purpose incompatible with Christian beliefs and practice.
2.3. The Hirer must be a responsible adult over the age of 18 and will act as guarantor.
2.4. The PCC reserves the right to refuse or cancel a booking without a reason being stated.
3.1. The Hirer shall NOT use the premises for any other purpose than that specified in the booking agreement.
3.2. The Hirer agrees to ensure that the premises are NOT left unattended during the period of the booking without arrangements for the security of the premises having been made with the Operations Manager or Caretaker.
3.3. It is illegal to smoke in any part of the Church buildings. The building is fitted with smoke alarms, which will be activated by cigarette smoke and cannot be silenced until the smoke has cleared. Smoking anywhere outside on site is also prohibited.
3.4. For health and safety reasons the maximum number of guests for the Large Hall is 70. The maximum number for the Small Hall is 20.
3.5. The Hirer shall not use any adhesive or fixing material, which may damage the fabric of the premises.
3.6. Stiletto heels may NOT be worn on the premises.
3.7. Chewing gum is NOT allowed on the premises.
3.8. Every portable electrical appliance brought in from elsewhere and used on the premises must have an up-to-date safety certificate and be available for inspection.
3.9. The Hirer is NOT permitted to bring in supplementary heating appliances.
4.1. Hiring a hall incurs an hourly charge and the placement of a refundable deposit.
4.2. The amount of the hire and refundable security deposit is set out annually by the “PCC” (Parochial Church Council).
4.3. Payments may be made by cash, cheque or direct bank transfer. No credit card payment facility is available.
4.4. Please make cheques payable to “St Luke’s Church PCC”, and deliver to the Operations Manager.
4.5. A deposit will secure a booking, but the full amount payable for the booking plus a deposit must be paid seven working days before the hiring takes place.
4.6. The deposit is refundable only if no damage is caused to the premises and no breaches of the Terms and Conditions set out in this document occur.
4.7. The PCC may cancel the hire at short notice if the hire fee and deposit are not paid in full in accordance with item 4.5.
4.8. We do not accept cash for deposits, for our records it is best to give a cheque deposit, or to pay by BAC (please reference 'Deposit').
4.9. The Hirer must cancel any booking in writing to the Operations Manager at the Church Office. If more than twenty-eight days’ notice is given there is no cancellation fee. If less than twenty-eight days’ notice is given the hirer shall forfeit the deposit.
5.1. The hire rates as of 01/01/2017 are as follows:

6.1. The Large Hall and the Small Hall both have polished floors.
6.2. If requested, 9 long tables and 100 folding chairs may be made available.
6.3. The Kitchen comes complete with a water boiler, cooker/oven, fridge, and food warmer.
6.4. Disabled Access: there is a lift to access to the main entrance and an accessible toilet in the building.
7.1. All bookings will attract a mandatory flat ‘Verger’s Fee’ as set out in the hire rates at item 5.1.
7.2. The Verger will open and close the Premises for the Hirer.
7.3. Abusive behaviour or failure to comply with the Verger’s requests will result in forfeiture of the entire deposit.
7.4. The Verger has the authority of the Vicar and the Churchwardens to involve the authorities should s/he deem this necessary.
8.1. The premises will not be available to the Hirer before the beginning of the booking.
8.2. Hirers must book preparation and clean-up time.
8.3. The building must be vacated by the Hirer 15 minutes after the end of the booking. Failure to comply with this condition will result in forfeiture of the entire deposit.
8.4. There must be no congregating in the church car park and no food and drink on the front forecourt.
8.5. The PCC are anxious at all times to act as good neighbours towards the surrounding community and, with this in mind, all music must cease at 6:30pm.
8.6. All meetings should be finished by 7.00pm at the latest, unless arranged otherwise. Failure to comply with this condition will result in the forfeiture of the entire deposit.
8.7. The Hirer should also ensure that persons using the building leave quietly with respect to our neighbours.
8.8. Entry and exit to events in the building must only be by the front door and not by the rear door.
9.1. Parking in the area surrounding the church is restricted to residents and metered bays at certain times.
9.2. The church car park is private property and must not be used for parking at any time. We do however allow one parking space for the Hirer during the duration of the booking.
9.3. The Hirer may use the car park for loading and unloading during the duration of the booking.
9.4 The gate to the car park must be kept closed after each use, parking on the grass areas or parking in front of access areas is strictly prohibited.
9.5 It is the responsibility of the Hirer to ensure that our car parking policy is strictly adhered to.
10.1. The parish of St Lukes, Redcliffe Gardens, regard the safe care and protection of children as of the utmost importance. Groups that hire or use church premises are expected to share this concern and make appropriate provision for the protection of children within their care.
10.2. By signing the booking form you confirm that you are familiar with the Home Office safeguarding guidelines and what is considered good practice. As a church we are advised under London Diocese Safeguarding Policy, which can be found here.
10.3. During the period of hire, the Hirer is responsible for orderly behaviour of guests/members on the premises.
11.1. Hirers must leave the premises in a clean and tidy condition.
11.2. All rubbish must taken from the premises by the hirer.
11.3. No hirer may return to clean the next day, unless prior arrangements have been made with the Operations Manager.
11.4 Any equipment used should be put away properly after use.
11.5 Lights must be switched off, and exits secured (most of the doors lock when closed, but please double check).
12.1 Any damage caused to the building must be reported to the Verger immediately.
12.2 The Large and Small Halls are fitted with fabric acoustic panels, which are fixed to the walls, including a moveable panel with wheels. UNDER NO CIRCUMSTANCES ARE THE PANELS TO BE USED, MOVED, TAMPERED WITH, OR HAVE ANYTHING STUCK TO THEM BY ANY METHOD (e.g. pins, tape, tack etc.). ANY DAMAGE OR SOILING CAUSED WILL RESULT IN THE FORFEIT OF THE DEPOSIT, WHICH WILL GO DIRECTLY TO REDCLIFFE SCHOOL (OWNERS OF THE PANELS).
12.3 The Hirer is responsible for meeting the cost of repairing all damage done to the premises and of replacing all fittings, equipment and furniture destroyed or made unusable during the time of the hiring, in excess of the amount of the refundable deposit.
All bookings are subject to our Terms & Conditions. It is the responsibility of the enquirer/hirer to ensure that these are read, agreed upon, and followed, and to seek further clarification if necessary.
